Terms and conditions

General
These terms and conditions, may be amended from time to time, apply to all our services directly or indirectly (through distributors) made available online, through any mobile device, by email or by telephone. By accessing, browsing and using our website or any of our applications through whatever platform (hereafter collectively referred to as the “website”) and/or by completing a reservation, you acknowledge and agree to have read, understood and agreed to the terms and conditions set out below (including the privacy statement)
These terms and conditions are between you and Hotel Sphinx and apply to
all bookings of hotel rooms in the property of Hotel Sphinx, to the exclusion of all other general terms and conditions.
You agree that you will make reservations in good faith for legitimate use by you and your
invited guests only and not for any other purpose, including but not limited to reselling,
impermissibly assigning or posting on third party websites, or making speculative, false or
fraudulent reservations or any reservations in anticipation of demand.
These terms and conditions and any bookings made under them shall be governed by and
construed in accordance with Dutch law. This choice of law is without prejudice to consumer protection afforded by provisions that cannot be derogated from by agreement by virtue of the law which, in the absence of any choice, would have been applicable in the country where you reside. Disputes shall be submitted to the exclusive jurisdiction of the competent court of Amsterdam, the Netherlands.

Rates & City tax
The room rate agreed when you made your reservation will apply to your booking. All prices include room service, VAT excluding city tax 12,5% and must be paid in local currency. Room rate and city tax charges must be paid upon arrival. All other charges must be paid during the stay or upon check-out.
The city tax may change between the time of booking and the time of your stay in our hotel. The city tax in Amsterdam is as of 2024: 12,5% of the total price.
Please note, we do not always accept cash. Always bring a record of your credit card details to guarantee the payment. We are not able to guarantee your reservation if we do not receive a credit card or a prepayment of at least the first night.

Cancellation, no show & changes
Do you want to cancel your reservation? We have two types of rates; flexible and nonrefundable. For (group)bookings from 3 rooms and more,
groups cancelation policy will apply:
-Between 7 and 0 days before arrival: 100% of the total roomrate
-Between 21 and 8 days before arrival: 50% of the total roomrate
-More than 3 weeks before arrival: 0%

Standard rate
You are able to cancel your reservation free of charge until 72 hours prior to the arrival date in local time.
Cancellations after this time will be charged for the whole stay. Cancellations can only be accepted by writing and needs an approval. For any unforeseen incidents, we advise you to take a travel and / or cancellation insurance at all times.
Refunds of prepaid charges are generally processed within 15 business days after your
request to cancel or modify your booking.
If a room is booked through the use of a travel agency or an online travel agency (such as Booking.com or Expedia.com and Hotels.com), you must cancel or modify your booking
through the agency that is used to make the reservation.

Non-refundable rate
Amendments or cancellations to non-refundable rates will incur a 100% charge of the total costs.
The hotel is authorized to charge the provided credit card at any moment after making the non-refundable reservation. Please be aware that the charged credit card needs to be presented at the check-in.
If a room is booked through the use of a travel agency or an online travel agency (such as Booking.com or Expedia.com and Hotels.com), you must cancel or modify your booking through the agency that is used to make the reservation.

No-show
In case of no-show, we will charge the full amount of your reservation. If you have made a non-refundable booking there is no additional charge. You will forfeit the remainder of the stay if there is no confirmation that you will arrive at a later time. The room will be released at 12 p.m. (noon) the following day.

Payments
Hotel Sphinx accepts Visa, Mastercard and Maestro as payment methods.

Pre-authorisations
The hotel reserves all the rights to pre-authorize the credit card when a credit card is used as a reservation guarantee method. Pre-authorization is not a charge; it is a temporary hold. This means the hotel will check if the card is active and if there is enough balance to cover at least the first night cost. After a certain period, the pre-authorization hold is released. This varies on countries and card issuer. Please contact your bank for advice on handling this.

Modifications
Should you wish to amend your reservation, neither the availability nor the rate upon your
booking can be guaranteed. To avoid late cancellation costs, we advise you to amend your
reservation at least 72 hours prior to the arrival date (local time).

Check-in time
Our check-in time is from 15.00. Should you wish to guarantee an early arrival, we
advise you to reserve the night prior to your arrival. Please note that this is subject to
availability.

Check-out time
Our check-out time is until 11.00. Should you wish to extend your check-out time, we ask
for a supplement of € 20,00 per hour for a hotel room until 17.00. Should you wish to check-out after 5 p.m, we will charge an additional night. All extensions of your check-out time are subject to availability.

Early check-out
Should you wish to depart earlier than the above-mentioned departure date, we kindly ask
you to inform us before 2 p.m. the day prior to your departure. This will also be to prevent
any late cancellation costs for reservations booked with flexible rates. There are no refunds for reservations made with non-refundable rates.

Underaged
The minimum age to check-in is 18 years old. If you are underaged and you are not
accompanied by someone of age 18 or older, Hotel Sphinx reserves the right
to evict you from the hotel.

Families with children
Subject to availability Hotel Sphinx provides baby cots. Please inform the
reception at least 1 day prior to your arrival.

Parking
Hotel Sphinx does not have its own parking facilities. You are able to park
your car on the street (residential area) or in any public parking garage close by. Please note extra costs are involved and reservations are not possible. We will gladly help you find you a garage nearby.

Liability/Payment
The hotel can’t be held liable for damages incurred by the customer, the guest, and/or other third parties, unless those damages resulted from deliberate actions or gross negligence on its part. This exclusion of liability also applies to damages arising from the consumption of foodstuffs prepared or served by the hotel and damages as the result of computer problems.
The hotel is not liable for the damage, loss or theft of goods and can therefore not be obligated to pay any form of compensation whatsoever in this context. The hotel reserves the right to pre-authorize credit cards prior to arrival.

Lost & Found
All items found in Hotel Sphinx will be stored for up to a month.

Damage to our hotel and property
Any damage to rooms or the hotel premises caused by your group or invited by your groupmember, items missing upon your departure will be charged to your credit card in file.

Unforeseeable circumstances
Hotel Sphinx does not accept liability or pay any compensation for our failure
to provide services contracted due to circumstances beyond our control: (natural) disaster,
fire, (acts of) war and terrorism, strikes, riots, civil disorder, governmental regulations,
industrial disputes, adverse weather conditions or any other exceptional and catastrophic
event, circumstances or emergency, making it impossible, illegal or preventing guests from
staying in our hotel.

WIFI
Throughout the building all guests can enjoy our complimentary WIFI services. Ask the
reception for the password and/or login details.
Our wireless network is provided without warranties of any kind, either expressed or implied.
We do not warrant that access to our wireless network will be uninterrupted, timely, secure
or error-free at all times or will meet your requirements. Hotel Sphinx is not
responsible for the security, integrity, accuracy or completeness of any information that you transmit or receive while using our WIFI. You may not use our WIFI network for any purpose that is unlawful or prohibited.

Privacy
During your stay, Hotel Sphinx collects your personal data. These data are
processed in accordance with our Privacy Statement as well as GDPR applicable laws and
regulations. Data collected by third booking parties using cookies etc. when browsing their
website, is beyond our control. We will refer to the Privacy Statement of the agency you
used to make your booking.

Additional house Rules

  • You are staying in a NON-SMOKING and DRUG FREE hotel.
  • Smoking (cigarettes, vaping, E-cigarettes) and use of recreational drugs (soft drugs, hard drugs, nitrous oxide) in the building and its surroundings is strictly forbidden. Failure to comply with this rule will result in a direct fine of € 300 and immediate removal from the hotel.
  • Shielding and/or damaging and/or removing of smoke detectors and any other fire protection installations or causing serious safety issues in any other way will result in a direct fine in the amount of 500 euros and immediate removal from the hotel.
  • It is not allowed to engage in commercial (sexual) activities in the hotel.
  • Maximum number of persons per room apply.
  • External visitors are not allowed after 22:00 or to stay overnight and all visitors must report at reception at all times and register with ID.
  • Photography and video recording of staff members is not permitted.
  • Staff safety instructions must be followed at all times.
  • Staff is entitled to make additional decisions and to immediately remove anyone who does not follow the rules from the hotel.
  • The uniform conditions of the Hotel Industry filed at the office of the court in The Hague are applicable to all reservations and services. Safety deposit boxes are available free of charge in all guest rooms. The hotel will not be responsible for loss of valuables from the guest rooms.
  • You must leave the room no later than check-out time.
  • Floors can be slippery.
  • Pets are not allowed in the rooms, facilities and on the premises.
  • By signing the registration form, you agree to all policies and regulations and understand that by providing the guest information, you authorize the hotel and its affiliated and subsidiary companies- to collect, process and my information for lawful, administrative and hotel’s business related purposes. To store my guest information and transmit information to various locations throughout the world, either directly or through its third party vendors, whether within the country of residence, the Netherlands, or elsewhere.
